  • Educational setting: the playgroup, children’s centre, nursery or school where you are a practitioner, parent or carer.
  • Pod: the EasyPeasy community you join when you use our service, with other parents from your educational setting.
  • Pod leader: The name we use for practitioners on EasyPeasy that act as moderators and conveners for the ‘Pod’.
  • Pod leader dashboard: The digital tool that EasyPeasy practitioners can access to view data on how parents are engaging with our service.

We are Character Counts Ltd (“we”, “us”, “our”, “EasyPeasy”) and operate under the name of EasyPeasy.

Local government and educational settings pay EasyPeasy to provide them with a service that allows them to share evidence based games, ideas, information, and advice to parents in their community.



What data do we collect and how do we use it?

Information you provide to us through our website:

As a visitor to our website, you may provide us with:

  • Your phone number
  • Other information that you give us in conversation through the website support ‘chat’ tool.

We use this information to:

  • Send you a 14 day free trial of our product
  • Contact you to send you more information and marketing about our product
  • Organise follow-up calls
  • Troubleshoot issues and answer questions related to the website and our product

Information you provide to us through our home learning service

If you are a parent using our service, your child’s educational setting may submit and store some or all of the following data about you on our service:

  • Your name and phone number.

When using our service, you may decide to share more data with us which we will process:

  • Comments on the videos of games available through our service.
  • Any data you provide us with in questions you submit on our support service.

We use this data to:

  • Deliver our service to you as requested by your child’s educational setting.
  • Improve our service based on your feedback in comments and support queries.

If you are a practitioner using our service, your educational setting may submit and store some or all of the following data about you on our service:

  • The name and address of your educational setting.
  • Your name and email address.

When using our service, you may decide to share more data with us which we will process:

If you are the member of a educational setting that has the authority to purchase EasyPeasy, and you decide to do so, we will store:

  • The name and address of your educational setting.
  • Your name and email address.

We use this data to:

  • Communicate about updates and changes to our services.
  • Charge you for our service.

Your educational setting has the freedom to choose which of the above data they store, and are able to delete it at will. Your educational setting chooses who has access to the data.


Information we collect automatically when you use our service:

We collect the following data:

  • Your behaviours when you visit our website.
    For example we track where you click and how long you spend on our site. This data is not linked to any other piece of data and cannot be used to identify you as an individual.
  • Your behaviours and preferences when you use our home learning service.
    For example, we track how many times you visit our service per week and which of our games you play.

    Analyse and improve the service that we provide to you.

Who owns the data?

The school or nursery own the data they place in our service. We do not. Formally, in ICO terms, the school or nursery are the “Data Controller” and we are the “Data Processor”.

Your educational setting have agreed to obtain consent from you to your data with us so we can provide you with our service.

We have the following legal bases for processing your data:

  • Legitimate interest: when we collect your data that you provide to us through our website, we are fulfilling your legitimate interest of receiving a free trial and finding out more about our product. When we process your data to provide our service, we are fulfilling your educational setting’s legitimate interest to improve school readiness of children using our proven method.
  • Contractual: we are in a contractual agreement with your educational setting to deliver a service to them and we need to process the data listed above in order to deliver that service.
  • Consent: before you give us your data or use our service, we seek explicit agreement to this privacy policy.

How do we collect the data?

As a practitioner, you give us data about yourself and parents directly into our desktop and mobile sites. As a parent, some of your data is provided by your educational setting directly to our desktop and mobile sites, and the rest of your data is provided by you. As a visitor to our website, you enter your data directly to our website.

We use cookies to verify that the you are logged in and to store your preferences. The cookies themselves do not contain any identifiable information about the you or about what you are looking at. The information about the computers that visit our site is collected by Google Analytics. No information that is stored by your educational setting on our system is sent to Google (i.e., Google doesn’t get to see anything about the staff, parents or children). How do we share the data we collect?

Sharing with other service users:

As a parent, your name and any data you provide in comments on our service will be shared with other parents and your nursery or school’s practitioners in your Pod. Sharing with third parties:

As a parent, we will never share your phone number with any third parties, but we may disclose your name and user behaviours with:

  • Anyone that works for us.
  • Organisations which supports our service, which include:
  • Anyone that you give us explicit permission to share it with
    • We will always seek explicit permission from you before sharing your data in this way.

As a practitioner, we may disclose your name and user behaviours with:

  • Anyone that works for us.

If they wish, your educational setting might give other staff, other parents or other relatives access to data. They might download or print some or all of the data in our EasyPeasy service and share it with their staff, parents or the government. They might transfer some of the data to a different nursery that uses EasyPeasy.

What we will not do:

  • Disclose your personal data to third parties; unless we are required by law, or court order.
  • Keep personal your data longer than necessary
    • We have strict data retention policies that are updated regularly. When your data is no longer required, we delete it safely and securely.

How do we secure your data?

Information storage and security

We use data hosting service providers in the United Kingdom and United States to host the information we collect, and we use technical measures to secure your data. We carry out assurance on the organisations we use as data sub-processors that are hosted in the United States. These organisations hold either the EU-US Privacy Shield or model contract clauses that state that EU companies can use them with assurance that they store data in a secure way. We have rigorous patching policies that ensure our machines, systems and servers are always secured by up-to-date protection.

How long we keep information

How long we keep information we collect about you depends on the type of information, as described in further detail below.

We keep the information you provide as part of your use of the service for as long as you use the service, then we delete it.

In the case of a breach of our own systems or the systems of one of our sub-processors that could compromise your data, we will notify your educational setting straight away. We will work to secure your data as quickly as we can. We have not experienced a data breach of any EasyPeasy data before.

How do you access and control your data?

Your Choices:

You have the right to request a copy of your information, to object to our use of your information (including for marketing purposes), to request the deletion or restriction of your information, or to request your information in a structured, electronic format. Accessing, amending or deleting data:

Your educational setting can correct the information we store about you through their ‘Pod Leader dashboard’. They can also contact us and we will correct or delete it on their behalf. You can also contact us directly through the details above to amend your data.

The process of deletion is gradual: initially deleted data is moved to a ‘deleted’ area in case it was deleted in error. After a delay, it is then permanently deleted from our main systems.

You can request to know what data we hold on you by contacting us through the details above. We will respond in line with the timelines set by the General Data Protection Regulation. You can request that we delete all data that we hold on you.

What are your educational setting’s responsibilities?

The educational setting using our service must have received explicit consent from parents to use their data and to contract EasyPeasy to process it as part of the service.

When they register to the service, they agree to our Terms & Conditions, which are available on the EasyPeasy website.

It is important that your educational setting has taken care to:

  • Think about what information it is appropriate to share with whom, given their situation and that of the children under their care.
  • Ensure they have permission from parents or carers for the data they store about them and the way that they use that data.
  • Train their staff about sensible security and confidentiality precautions.
  • Take care of passwords
  • Take care not to install software on computers that may compromise security
  • Take care not to access material from inappropriate places where it can’t be kept appropriately confidential
  • Give parents instructions for keeping data protected, e.g. by insisting no photos are uploaded to social media sites without the written permission of the parents whose children are depicted in photos, videos or text.

Changes to this policy

Any material changes we make to our privacy notice in the future will be communicated to you through your educational setting. An up-to-date privacy policy will always be available on our website. We will update this privacy policy on a yearly basis as standard and at other times it is deemed necessary to do so. This policy was last updated in April 2018.
